Service terms

What we agree before work starts

We confirm trial scope, dates and data handling in writing before activation. Paid service requires a separate signed order and service agreement. Applying does not activate a trial or create a payment obligation.

1. Free-trial eligibility and start date

The founding offer is for the first five approved Hong Kong businesses, with one trial per business. It covers one location, one compatible WhatsApp number, one Instagram account, one Google Calendar and a standard booking workflow. We check account access, compatibility and a staff handover route first. Your 14-day period starts at the agreed go-live time after acceptance tests and your approval, not when you submit the form. Custom integrations, migrations, marketing campaigns and Core work are excluded.

2. Trial allowance, counting and costs

The trial ends after 14 days or 100 customer conversations, whichever comes first. One conversation is a 24-hour window starting with a customer’s first inbound message; messages from that same customer account on that channel within that window count once. The next inbound message after the window starts a new conversation. The 100-conversation allowance is shared across WhatsApp and Instagram; the same customer on different channels counts separately. Pre-launch test chats do not count. BookDak covers standard setup, AI usage and messaging fees within this scope; no card, deposit or third-party purchase is required. Paid external tools are excluded. We notify you at 80 conversations and arrange to stop AI automation at the limit; no overage is charged.

3. Scope and compatibility

Your order lists locations, WhatsApp numbers, staff/resource calendars, languages, workflows and the supported integration. Core does not include an unlimited number of branches or every booking system. We confirm compatibility first; additional work needs a written quote and your approval.

4. Usage and external charges

For paid plans, the quote defines the monthly allowance, how usage is counted, overage rates and spending alerts. Meta and booking-software charges are separate and paid by you directly at cost. We agree a spending cap and what happens at the limit before paid activation; extra billable usage requires your approval. The free trial’s included messaging costs are covered by BookDak.

5. Setup, acceptance and billing

We agree scope, setup milestones and booking/handoff test cases before work starts. You supply accurate information, account access and feedback. Standard onboarding usually takes up to two weeks once inputs are ready; this is separate from your 14-day trial. Starter has no setup or service fee during the trial. Only if you explicitly choose paid continuation do HK$2,499 setup and the first HK$1,499 month become due on the agreed paid activation date. Core setup milestones and billing dates are quoted separately; its monthly billing starts after accepted go-live.

6. Subscription and cancellation

You can stop the free trial at any time by emailing us; there is no fee and no automatic paid conversion. We send an expiry reminder two days before the planned end. At expiry or the usage cap, automation stops unless paid continuation has been agreed; existing calendar bookings remain. Paid Starter renews monthly; cancel by email at least seven calendar days before renewal to stop at the end of that paid period. Core has a three-month initial term, then renews monthly with 30 days’ notice; notice can be given during the initial term, but termination is no earlier than its expiry.

7. Support and configuration changes

Your quote states human support hours in Hong Kong time, response targets, escalation contacts and the configuration changes included each month. An always-on AI service does not mean 24-hour staffed support. New workflows, system migrations and additional integrations are quoted separately.

8. Service issues and refunds

The agreement sets a process and time window for reporting and fixing failed acceptance tests, booking errors and service faults, including external-platform outages. Setup charges follow completed, agreed milestones. Remedies for undelivered work and any unused prepaid service are agreed before payment; there is no blanket policy that every payment is non-refundable.

9. AI boundaries and client responsibilities

You approve prices, availability rules and customer-facing information and keep them current. We test safeguards and human escalation, but AI is not guaranteed to be error-free. Medical and treatment advice stays with your professionals. We do not guarantee revenue, booking volumes or a reduction in no-shows.

10. Customer data and leaving the service

The data-processing agreement sets permitted uses, approved providers and processing locations, access controls, incident notification, retention and deletion periods, and export arrangements. AI-provider training and retention settings are checked before launch and recorded in the agreement. You retain control of your business accounts and WhatsApp number; customer data and BookDak’s reusable software/IP are distinguished. For a trial that does not continue, request a data export within 14 days of its end. We delete trial customer data from active BookDak systems within 30 days, except records lawfully required for a stated purpose; backup expiry and provider retention are documented before activation. Your own WhatsApp and calendar records remain under your control.

11. Changes, permissions and the signed agreement

Price changes require at least 30 days’ written notice and do not change fees during an agreed fixed term. Case studies and testimonials require separate written permission. The service agreement also sets confidentiality, suspension, liability, dispute handling and exit arrangements. Any variation to these commercial terms is explained and agreed in writing; requesting a demo does not start a paid service.

Your signed documents record the exact allowance, integration, support commitment and data arrangements. We agree these before starting; this page is a commercial summary, not a replacement for those documents.
